How to |sales listing status (excel spreadsheet)


This spreadsheet is used as a quick reference to the status of our current sales listings.

It needs to updated regularly. How often in needs to be done can be determined based on how busy the sales department it.

It is located under \Rentals\AA-RECEPTION-GENERAL OFFICE\Daily Lists


To update new listings

  • Log into Agent Box

  • Select reports (Pie Chart)

  • Select Stocklist Reports

  • Select the For Sale

  • Under the heading PT & Auction tick Available, Exchanged (C/U) & Under Contract (C/U). When ticking the later two a pop up box will appear, make sure both unconditional and conditional are ticked and the save.

  • Select Download as CSV (tray with arrow next to printer)

  • Highlight all the listings and Ctrl C

  • Open the Sales listing status spreadsheet and Ctrl P into Sheet1

  • Under the Sales Status tab click on F2

  • Go the the formulas menu

  • Click on Lookup & Reference

  • Select VLOOKUP

  • Lookup_value: Select A2 (ID)

  • Table_array: Highlight columns A-E in Sheet1

  • Col_index_num: 5

  • Range_lookup: 0

  • Select OK

  • Drag the formula from F2 to the bottom of the data

  • Under the Sheet1 tab click on F2

  • Go the the formulas menu

  • Click on Lookup & Reference

  • Select VLOOKUP

  • Lookup_value: Select A2 (ID)

  • Table_array: Highlight columns A- E in Sales Status

  • Col_index_num: 5

  • Range_lookup: 0

  • Click OK

  • Drag the formula from G2 to the bottom of the data

  • Any listings that have #N/A in column G are the new listings that need to be copy and pasted in Sales Status


to update exchanged, unconditional and settled

  • salesadmin@djstringer.com.au will send an email advising that a property has exchanged contracts

  • Under column E - Status, change new listing to Contract

  • salesadmin@djstringer.com.au will send an email advising that a property has gone unconditional

  • Under column E - Status, change new listing or Contract to Unconditional

  • salesadmin@djstringer.com.au will send an email advising that a property has settled

  • Highlight the settled property row

  • Cut

  • Paste into settled year

  • Under column C - Status, change to Settled

  • Under column G put the settlement date

Note: When sales admin emails a property has gone unconditional put a red Under Contract card in the brochure stand in front of the property.

When sales admin emails a property has settled put a black Just Sold card in the brochure stand in front of the property.
